Spring 2020 Election Information

 Elections have already taken place for the 2020-2021 school year. If you're interested in running for a position in the future, read on to hear about what our officers do!

Important things to remember:

• You must be a national, dues-paying SWE member in order to vote and/or run for an officer position.
• You can run for more than one officer position.
• In order to be eligible for outreach coordinator, you must have been a member of the IAGE planning committee.
• In order to be eligible for the mentoring coordinator, you must have been a participant in the professional mentoring program for at least one year.
• Treasurer is the only position with a different term. If you are elected to be treasurer, your term will be effective immediately (in January) and will end when the 2019 year ends.

It is encouraged to get in contact with the current officer for a position you're interested in to discuss their role, responsibilities, and time commitments. Here is a list of the current officers and their emails. ​

President

• Verify that the section remains in good standings with the National organization.
• Organize and conduct meetings.
• Keep the society on task by delegation of responsibilities.
• Meet with section counselor and adviser to validate semester schedule. 
• Update T-drive and Student Org Lab Access List.
• Consult Treasurer to determine budget status, as necessary.
• Maintain status as a student organization through SLICE. 

Secretary 

• Keep the meeting minutes.
• Take attendance at all meetings and events. 
• Write thank you letters for sponsorship and guest speakers.
• Purchase thank you cards and postage stamps
• Write all reports required by the regional and national headquarters. 
• Retain and continuously update an electronic mailing list with mailing and contact information.
• Obtain business card from all speakers.
• Coordinate with Activities Coordinator and President to prepare for Evening with Industry.
• Assist President in writing, submitting and making amended changes to Section Bylaws and Constitution.
• Make business cards for all people going to National and Regional conferences.
• Create and send thank you postcards.
• Fill out Official Function forms.
• Pre-approve and discuss any absence from a SWE meeting and/or activity.

Publicity Coordinator

• Make sure all events are publicized on the SWE white board.
• Effectively advertise Evening with Industry and other section events using flyers, e-mail lists, posters, etc.
• Maintain SWE website.

• Create, at the end of each academic year, a one page newsletter highlighting SWE section activities to be distributed to companies and other affiliates.

• Pre-approve and discuss any absence from a SWE meeting and/or activity.

Activities Coordinator

• Organize Evening with Industry and/ or other career fair related activities.
• Organize any SWE activities other than meetings.
• Order all food for SWE meetings while maintaining close communication with Treasurer in regards to budget and receipts of purchase.
• Pre-approve and discuss any absence from a SWE meeting and/or activity.

ECC Representative

• Request funding from ECC for SWE sponsored activities.
• Consistently attend both ECC and SWE meetings and inform both sides of activities and news. 
• Help with E-days events including, but not limited to: organizing volunteers and planning one activity as directed by the Engineering College Council.
• Pre-approve and discuss any absence from a SWE meeting and/or activity.

Vice President

• Assume all the responsibility of the President when the President is unavailable.
• Attend DPE biweekly meetings.
• Request funding for National Conference from SLICE.
• Oversee all travel arrangements.
• Assume role of Coordinator of the CSU SWE Mentoring Program.
• Collaborate with professional co-Coordinator.
• Pre-approve and discuss any absence from a SWE meeting and/or activity.

Treasurer 

• Obtain all monthly account statements and reconcile all SWE accounts each month.
• Create budget and reconcile expenses and donations. 
• Fill out all documentation for the Engineering Business Office.
• Submit financial statements to regional and national headquarters.
• Reconcile tickets sold and cash box for Evening with Industry.
• Bring cash to pay for bill at Evening with Industry.
• Pre-approve and discuss any absence from a SWE meeting and/or activity.
• Cannot be a May graduate during the time of office.
• Elections for this position will happen in January and the term will be Spring to Fall.

Fundraising Coordinator

• Write annual employer invitation to engage letter at the beginning of term.
• Interact with company representatives to work closely together to sponsor events.
• Coordinate any non-corporate fundraising activities.
• Submit Region i STEM mini-grant applications for each Outreach event.
• Research and submit SWE National Grants as needed.
• Acquire company sponsors for Evening with Industry.
• Pre-approve and discuss any absence from a SWE meeting and/or activity. 

Outreach Coordinator

• Assume role of Coordinator of the CSU SWE Introduce a Girl to Engineering Event
• Pre-approve and discuss any absence from a SWE meeting and/or activity with the President and Faculty Advisor.

Membership Coordinator

• Organize the first year women’s welcome event.
• Advertise SWE at the College of Engineering Student Organization fair during Ram Welcome.
• Help students fill out national membership applications.
• Pre-approve and discuss any absence from a SWE meeting and/or activity.
• Develop spreadsheets to organize membership retention numbers.

Mentoring Program Coordinator

• Coordinate both the CSU SWE Professional Mentoring Program and the CSU SWE Peer Mentoring Program.
• Act as the primary contact for students and professionals in the mentoring programs.
• Pre-approve and discuss any absence from a SWE meeting and/or activity.
